Not a “best AI tools” roundup. This is what actually gets used across the project-tracking, design, development, and stakeholder-communication phases of a training project, with a one-line honest take on where each one fits and where it doesn't.

Smartsheet
Used for: Running the RAID log, milestone tracker, and resourcing view for a training rollout when the audience is too big for a spreadsheet you email around.
The take: Overkill for a single course build. Earns its cost once you're coordinating SMEs, developers, and a launch date across more than one team.
Articulate 360 (Rise + Storyline)
Used for: Building the actual eLearning module once your storyboard is approved — Rise for responsive/simple, Storyline for branching scenarios and custom interactions.
The take: The default for a reason. If your org already has a Storyline library, don't fight it — extend it.
Camtasia
Used for: Screen-capture demos and quick video walkthroughs that don't justify a full production pipeline.
The take: The right tool when the ask is 'just show them how' and a full storyboard would be over-engineering.
Miro
Used for: Storyboarding, stakeholder workshops, and mapping a curriculum's dependencies visually before anyone opens an authoring tool.
The take: Best used early — as a needs-analysis and design-review space, not as a permanent system of record.
monday.com
Used for: A lighter-weight alternative to Smartsheet for teams that want status boards and automations without a steep learning curve.
The take: Good fit if your stakeholders already live in it for other work — the value is one fewer tool for them to check.
Loom
Used for: Async status updates and quick design walkthroughs for stakeholders who won't read a written update but will watch a 3-minute video.
The take: Cuts down status-meeting sprawl more than almost any other tool on this list.
TalentLMS
Used for: A fast-to-stand-up LMS for pilots, small cohorts, or orgs that don't want to wait on an enterprise LMS procurement cycle.
The take: Not a replacement for an enterprise LMS at scale, but genuinely useful for running a pilot before you ask for that budget.
Claude
Used for: The prompts in this library are written and tested against Claude — drafting charters, RAID logs, objectives, and status updates from raw notes.
The take: Handles the messy-to-structured conversion (interview notes → objectives, sprint notes → status update) better than most tools built specifically for either PM or ID work.
